Job Responsibility1. Recruitment
o Recruit new employees based on company's needs
o Update current and design new recruiting procedures (e.g. job application and onboarding processes)
2. On-Boarding
o Creating ID and email for new employee.
o Email department or team of the new employee.
o Arrange business cards and name tag.
o Arrange office access card for new employee and hand phone if necessary.
o Add new employee to relevant email list.
3. HR Matter
o Update staff information from time-to-time
o Keeping a track of the attendance of the employee.
o Filing the leave forms and keeping a track of the leaves taken.
o Verifying outlet commission, OT and claims.
o Prepare accurate payroll and distribute payslip to the staff
o Prepare monthly statutory contributions and arrange for payment to be made accordingly
o Prepare HR related letter, memo, notice and other documents
o Update Personal Assurance and hospitalization insurance if there is any new joiner or resigned staff.
o Renew foreign worker's permit, passport and contract.
o Perform any other expressed or implied duties as and when required by the manager.
4. Administrative Work
o Act as the point of contact between the HQ and outlets.
o Handle office and outlets requests and queries appropriately.
o Make travel arrangements by assisting to book flight and hotel.
o Monitor and deal with office supplies (eg : fire extinguisher, pest control, stationery).
o Develop and carry out an efficient documentation and filing system.
o Provide general administrative and clerical support including mailing, scanning, faxing and copying.
o Apply and renew all relevant license and utilities.
o Respond to incoming calls.
o Monitoring staff redemption.
o Renewal of office insurance.
o Maintains office supplies inventory by checking stock to determine inventory level. Eg : stationery.
5. System and Software
o System maintenance on sales and outlet inventory related matters.
o Liaise and coordinate with software provided (Outlook).
