Job ResponsibilityJOB PURPOSE
-To manage the reception area for CIMA Group of Companies including greeting all internal and external visitors, vendors & contractors, and receiving incoming telephone calls. The job also required the receptionist to manage all incoming & outgoing documents to CIMA Group of Companies, meeting room & accommodation bookings, and refreshment arrangements for meetings.
JOB ACCOUNTABILITIES
1. The Receptionist is responsible for providing secretarial, clerical, and administrative support to ensure that municipal services are provided in an effective and efficient manner.
2. To receive incoming calls in the right telephone etiquette and polite matter to ensure the caller receives the information required at a professional level.
3. To entertain all internal & external visitors and arrange their visit in a timely manner, to ensure that the visit is arranged accordingly.
4. To arrange all incoming & outgoing documents efficiently to avoid any penalties & late charges due to lateness by documenting all documents & arrangements.
5. To ensure that all meeting & accommodation arrangements booked thru the receptionist are well arranged in terms of rooms, refreshments, and other related bookings.
6. To assist with monthly billings and payment processing by arranging for payment with the dispatch team in time to avoid delays in payment.
MINIMUM QUALIFICATION & COMPETENCIES
-SPM Or Any Certification Equivalent
-Minimum 1 year working experience
-Time Management, presentable and polite
