Job Responsibility- Act as the point contact between internal/external clients
- Undertake the task of receiving calls, take messages and routing correspondence
- Handle requests and queries appropriately
- Make travel arrangements, book flight and hotel for staffs/clients and record in file
- Monitor, record and order office supplies (Pantry items and stationery)
- Research advantageous deals or suppliers related to office supplies
- Assist in CIDB administration. E.g: renewal and etc.
- Assist in company vehicle insurance renewal, road tax and etc.
- Develop and carry out efficient documentation and filing system
- Compile, check and record monthly reimbursement (staff and clients)
- Monitor, filing and update staffs leave and record in leave system
- Receive, sort and distribute the mail
- Manage conference calls, Pantry and Courier Services
- Update staff contact and email directory
- Distribute updated staff directory to all employees
- Coordinate repairs to office equipment
- Manage staff appointments
- Greet and assist visitors to the office
- Photocopy and print out documents on behalf of Managing Director and Director
- Record staff training, compile and update training certificate
- Resolve administrative issues
