Job ResponsibilityEnsuring in providing the services and solutions to support the business area in delivering the best toward the company and employees.
Responsible to ensure business continuity in any contingency situation.
Coordinate in organizing an activity for employee career development (i.e Training).
Coordinate the staff movement (i.e. transfer) and ensure each employee must get approval from HOD before being verified by HRAD.
To follow the ISO, SOP, and Employee Handbook (Policy).
Advisory to employees pertaining to employee welfare and compensation.
To comply with data accuracy and follow the procedure and process.
Communicating with employees about current issues if required (i.e sharing info or knowledge etc).
Liaising with the external body (i.e. HRDF, Tax, EPF, and SOCSO) with regard to company and employees' concerns arise.
To follow the correct SOP process (i.e. Hiring, Termination, Resignation, Training, etc).
To understand the Employee Handbook (policy) as a guideline and first-stop center for employee concern.
To follow the correct SOP process (i.e Request, Invoices, etc).
To alert and monitor the staff confirmation and contract renewal.
Ensuring all e-Filing, Filing, and Documentation for HR are uploaded and up-to-date for the usage of the HR team (both hardcopy and softcopy).
Assisting in the remuneration process for employee payment/salary in a timely manner (e.g end of the month - 28, 30, or 31).
Assisting in processing the statutory and checking the EPF and PERKESO portal to ensure no issues arise.
Assisting in liaising with government bodies with regard to LHDN, EPF, PERKESO, HRDF, etc).
To update the master data (i.e employee asset in hand, vehicle, Tenancy Agreement (TA), Company certification and summon).
To monitor and track the expiry date of the vehicle road tax, insurance, company certificate, etc.
Advisory to employees on Employee Relation activities and Staff Welfare related to HR matters and within the given guidelines as per the policy.
Coordinate with respective HODs (Heads of Departments), for any query with regard to new hires and staff matters.
Assisting in updating the HR & ADMIN PF (Process Flow) and Work Instruction (WI) for the HR & Admin team to have a better structural Way of Working (WoW) if required.
Always ensure to think out of the box and always have prepared milestones for any situation.
Ensuring all Letter of Employment (LOE) terms and conditions, Annual Leave entitlement, and balance for employees are up to date.
Assist in reviewing all forms and templates for HR and Admin usage.
Assist in requesting any creation, delimitation, or changes of HR forms to comply with ISO requirements as and when required.
Assisting in checking all Letters (LOE, ROA, Confirmation Letter, renewal of contract, etc).
Ensuring all letters of employees are up to date with sufficient supporting documents and recorded.
As a primary in ensuring the payroll system (i.e InfoTech System etc) has been updated with sufficient employee records accordingly.
Ensuring the employee's claim is according to the policy and any exceptional has been raised accordingly.
Assisting in internal and external audits of HRAD.
Ensuring and monitoring the housekeeping of COMPANY office and pantry.
Others
Performing ad-hoc duties as requested by Managing Director / Project Director and HR & Admin Manager.
