SALES ADMIN

Job Brief
Band of Gorilla is an advertising and marketing business that specialises in a wide range of marketing services such as design, printing, signage, and events. We are looking for a goal-oriented Sales Administrator to join our Sales Team and help us achieve our goals. You will serve as a point of contact for customers with queries about products, orders, and deliveries and provide support for sales representatives. If you have exceptional organisational skills, we would like to meet you.
As a Sales Administrator, you are responsible for managing our purchase orders and invoices. In this role, you will verify customer information, issue invoices, relay order instructions, and provide administrative support and assistance to the extended team in matters related to your role.


Roles
o Report to the accounting department and provide ample administrative support to the extended team.
o Knowing how to prioritise and multitask as well as understand internal processes within the printing, production, and sales departments.
o Continuous self-motivation and self-learning with ambition are expected, and you are expected to work independently while ensuring that you take responsibility and are accountable for work executed.

Responsibilities
o Form a clear understanding of the daily job brief and scope of work.
o Effective and consistent communication with other team members and departments.
o Understand respective departments' materials, products, and services.
o Receiving and processing purchase orders.
o Issuing sales transaction invoices.
o Verifying orders, including customers' personal information and payment details.
o Contacting customers by phone or email to answer queries and obtain missing information.
o Maintaining and updating sales and customer records.
o Compiling monthly sales reports.
o Expediting orders through internal liaison.
o Directing feedback from customers to relevant departments.
o Identifying new products to add to those offers
o Manage obligations to customers/clients, and suppliers/third-party vendors.
o Prepare, send, and store invoices.
o Contact clients and send reminders to ensure timely payments.
o Daily updates to the Redbook and sales summary.
o Daily filling of sales invoices and submission to the account department
o Email sales invoices with "Chop & Signed" by the customer to the particular customer.
o Making sure if Sales Invoices paid by cash, have been acknowledge by chop with Invoices.
o Follow up with the cash sales account and the sales agent account.

Requirements and Qualities
o Diploma or bachelor's degree in business administration or similar field is preferred.
o Previous experience in sales administration, or a similar role.
o Exceptional interpersonal and customer service skills.
o Advanced knowledge of administrative recordkeeping.
o Familiarity with sales reports and sales records.
o Excellent written and verbal communication skills.
o Ability to speak and write in Mandarin is a plus.
