Job Description


Job Responsibility

Personal Assistant (PA)

  • Manage calendar, including making appointments and prioritizing urgent matters
  • Organize meetings/discussions, including scheduling, sending invitation/reminders, organizing catering, etc.
  • Manage travel arrangements and itineraries, including flights, accommodation, ground transport, etc.
  • Managing expense reports, including submitting Director's claims and helping review others' reports as per requested by Director
  • Provide administrative assistance, such as writing and editing E-mails / letters / messages, drafting memos, and preparing communications on Director's behalf
  • Taking notes and writing minutes in meetings, then follow up with Managers to ensure actions are completed
  • Produce documents, briefing papers, reports and presentations for the Director
  • Accompany Director as per requested, to attend business event / meeting client while recording notes and messages
  • Run errands and any ad-hoc duties as per requested by Director

Office Admin

  • Responsible for personnel works
  • Responsible for the control of document and data
  • Able to work independently in fast-paced working environment.
  • Able to assist ad-hoc assignments as and when required.
  • Responsible to provide administrative & office support activities to facilitate smooth operation of the company.

Human Resource (HR)

  • Handle processing activities including computing wages, bonus, allowances, advance deduction etc. within specified time frames and compliance with Malaysia Employment Act and other relevant statutory requirements.
  • Manage employee data, update employee movements including onboarding, transfer, promotion, termination, resignation and personal data changes in internal data management.
  • Manage HR Administrative duties in areas of preparation of all HR related letters, insurance, maintaining HR Documentation, etc.
  • To coordinate & to support in recruitment & hiring processes
  • To coordinate & to support training needs compilation from the annual performance review talk and coordinate learning and development initiatives for all employees

Job Requirements
  • Possess strong follow-up skills, note taking skills and time management skills
  • Have self-disciplined, positive attitude and strong sense of responsibility
  • Be committed, self-motivated, proactive and able to work well under pressure
  • Possess good communication & interpersonal skills and able to work both independently
  • Willing to learn and explore new things
  • Familiar with basic Microsoft Office, Word, Excel, Powerpoint, E-mail, etc.
