Job Description


Job Responsibility

  • To assists the CEO with daily administrative duties and completes a wide range of administrative tasks such as managing an active calendar of appointments, screening/handling phone calls, and emails, completing expense reports, composing, and preparing correspondence, arranging complex and detailed plans, itineraries, and agendas, compiling documents for meetings, and keeping track of all project progresses.
  • To ensure that all correspondence and relevant materials are produced on time and accurately.
  • To manage the  CEO's travel arrangements, which include but are not limited to driver, bodyguards, car arrangements, flight tickets, hotel reservations, and so on.
  • To handles personal and private/confidential matters for the CEO and/or immediate family members of the CEO, including but not limited to bank matters, membership accounts, and income tax.
  • To keep the CEO's office in clean and tidy condition.
  • To collaborate closely with other Personal Assistants or Secretaries from the group of companies or associates, both local and international.
  • To coordinate and communicate with various departments and all levels of staff on matters directed by the CEO.
  • To provide administrative assistance to the CEO in the implementation and completion of  departmental work plans.
  • To push heads of departments on their progress.
  • To remind the CEO on task deadlines to push company progress.
  • To follow up on action points from meetings on behalf of the CEO.
  • To prepare reports for the CEO as needed.
  • To carry out special assignments, ad-hoc functions, and related duties as directed by the CEO.


Job Requirements
  • Degree in Law/Business Administration/Accounting.
  • Minimum 5 years of working experience.
  • Energetic, presentable, self-motivated, disciplined, performance-driven, and capable of working independently.
  • Effective record-keeping, task/project management, follow-up, and timeline management with departments, senior management, and other stakeholders.
  • Excellent written and oral communication skills in English and Mandarin, native is an added advantage.
  • Good working knowledge of MS Excel, Word, PDF & PowerPoint.
