Job Responsibility1. To assist the Maintenance Manager with reports such as department's monthly expenditures and to produce end of period maintenance reports.
2. To manage and to be responsible for all departmental documentation such as daily logs, reports, work orders, material inventory list, tools inventory list and statistic chart as per assignment.
3. To handle the incoming calls and information, obtaining all relevant information and passing on to the appropriate personnel.
4. To follow-up on other departments' requests for engineering jobs.
5. To be able to analyse problems, formulate plans and execute tasks in a timely and efficient manner.
6. To be knowledgeable of and be familiar with various tools, material terminology and technical expressions used in maintenance.
7. To monitor all appointments, meetings and training schedules to ensure that due dates or times are not missed.
8. To take and to prepare minutes of meetings.
9. To follow-up on current/pending commitments of contractors.
10. To submit vacation/sick leave forms and other related documents of maintenance employees to the Human Resources Department.
11. To maintain computerized maintenance database for all reports.
12. To initiate requisition to maintain an adequate stock of office and maintenance supplies for the department.
13. To maintain orderliness in office.
14. To act as department liaison officer
