Working for one of the Must-Wins for MBM, you will be responsible for subprojects and a wide range of exciting tasks with a considerable impact on the entire organization.

Your tasks will be:
o Schedule and supervise maintenance repair work and assist with checking installation and servicing building equipment
o Ensures that the facility is clean and maintained according to company policy and procedures
o Monitor activities that happen outside the building, such as proper waste disposal and recycling, managing parking facilities and ensuring space
o Recommends maintenance, mechanical, electrical, and facility design, setup, layout modifications. Oversees refurbishments and renovations
o Plan best allocation and utilization of space and resources for new buildings, or re-organizing of current premises
o Ensures security and emergency preparedness procedures are implemented properly
o Respond appropriately to emergencies or urgent issues as they arise like creating building evacuation and other action plans
o Decisions made with thorough understanding of procedures, company policies, and business practices to achieve general results and deadlines
o Perform risk analysis and ensure that identified safety issues are well implemented as required
o Develops and provides staff training on risk management and disaster recovery
o Ensure compliance with health and safety regulations
o Identifies and implements recovery operations and methods to allow the company to function at limited or partial capacity in the event infrastructure is damaged or destroyed
o Coordinate BCP testing program and actively participate in testing scenarios
o Creates and facilitates practice drills for plan execution
o Ensure the execution of disaster recovery and continuity of operations
o Provide regular reports to the senior management on BCP threats and defensive steps taken
o Forecasts, allocates, and supervises the financial and physical resources of the facility management
o Maintain relationship and ongoing communication with contractors, vendors, clients, and teams
o Maintain an updated record of invoices from external partners (e.g. suppliers, insurance agents, security guards)
o Handle administrative office duties including tracking of regular and ad-hoc facility expenses, attendance & monitoring access control, housekeeping, kitchen supplies, travel, courier, stationery, expat assistance, etc.
What you bring to the table:
o Bachelor's degree in Business Administration, IT or equivalent
o Minimum 5-8 years direct experience in Administration, Facility Management, FS Industry
o Computer literacy including knowledge of using Microsoft Office
o Basic knowledge about sustainability and experience of building & construction
o Strong hands-on analytical and troubleshooting skills for facility and maintenance related to compressor/ power supplying/compressor and firefighting system
o Exposure to Preventive Maintenance and upkeep of office equipment and security systems.
o Knowledge and experience of contractor management (project schedule/ project quality & process and project safety management etc.
o In-depth knowledge of business continuity risk and its frameworks and tools
o Experience & Familiar with project management, especially for new building construction project, including design review/ Supervision & acceptance
o Knowledge of architectural, electrical and mechanical systems
o Understand ISO14001 and ISO45001, safety standardization system
o Thorough understanding of risk management
o Good written English and basic verbal English communication skill. Proficiency in Asian languages preferred
o Good internal communication and collaboration skill
o Staff management skill and strong service mindset
