Job Description


Job Responsibility
Duties and Responsibilities:

o Communicate effectively with all the property stakeholders i.e tenants, service providers, visitors, finance department, lawyers etc.;
o Collaborate with the technical team in monitoring and managing the contracts, reports and administration of service providers (e.g cleaning services, security services, pest control, lift maintenance, firefighting equipment etc);
o Collaborate with the technical team in monitoring and managing tenant activities on the property -- renovations, Joint Inspections, emergency evacuation exercises, relocations, movement of goods, compliance matters with the appropriate Authorities and our building rules;
Supervise the work of the property's administrative staff in the subordinate's duties which comprise:
o source / co-ordinate / process quotations, purchase orders, delivery orders, invoices, forwarding of payments to suppliers, follow-up on issues;
o liaise with tenants or visitors on complaints and enquiries;
o preparation of building notices, and communications with stakeholders;
o organize, file and control property-related administration e.g maintenance supplies, keys, furniture, floorplans, supplier documentation etc.;
o create, maintain and update property maintenance & building service records effectively;
o report monthly or as required on maintenance and service provider issues;
o effective co-ordination with Finance and Maintenance Departments regarding maintenance and service provider administration;
o Supervise the work of the property's marketing & Ieasing staff in the subordinate's duties which comprise:
o canvass for new prospective tenancies for the building;
o liaise with tenants or prospects on initiation of lease, termination, rental payment, complaints, enquiries and initiate necessary related action or documentation, including preparation of Letters of Offer and Tenancy Agreements;
o conduct property viewings, follow-up on prospects, initiate marketing calls and gather basic market intelligence / surveys;
o create, maintain and update leasing / tenancy documentation, records and collateral effectively
o report monthly or as required on tenancy updates, issues & prospects;
o effective co-ordination with Finance, Legal and Maintenance Departments regarding tenancy matters;
o Establish and maintain good relationships with property stakeholders: tenants, prospects, agents and service providers;
Support overall commercial property management.
