Job Description


Job Responsibility

Summary of role:

Responsible on the arrangement for total company (AMY & AB) domestic and oversea travel and transport for staffs. To arrange for local staff hostel and Japanese expatriate accommodation.

 

Responsibilities:

  • To monitor the accuracy of daily update into master list for all reservations requests receive via email for both accommodation and transportation.
  • Responsible for sourcing, evaluating, comparison and recruiting of new agent, transporter or hotels which is more cost efficiency with better and reliable services.
  • To review, analyze, obtain quotation, negotiation on panel rate, comparison of services, considering on the reliability, time management for the yearly contract renewal of existing travel agent/transporter/panel hotel.
  • To review and negotiate on the terms and condition as propose in the contract for all the appointed panel which is fair for both parties.
  • Responsible on new project transportation & accommodation arrangement which include surveying, recruiting, negotiation on panel rate, payment terms, ensure the availability, sufficiency, distance, considering on safety and cost efficiency.
  • To control and monitor hotel booking expenses by negotiation to obtain lower rate with better services, consistent comparison of rates with other hotels and ensure allocation of rooms is accordance to company guideline.
  • To study the distance on non-panel hotel booking request, perform comparison to panel hotel and proceed booking arrangement with the most convenient yet cost efficiency which is within budget.
  • To monitor the transportation booking, accuracy of arrangement and ensure confirmation is send the requester which is accordance to the timeline.
  • To monitor payment by weekly to ensure submission to finance department and payment to the supplier in a timely manner without complain.
  • To monitor and ensure the sufficiency of prepaid amount in Malindo, Air Asia & Fire Fly agent page in order to perform lowest fare.
  • To monitor, control, ensure the touch & go, petrol card and season pass is solely for the company usage from requestor.
  • To support on the transportation booking process as and when require.
  • To monitor the arrangement of car rental which is comply with company policy and cost comparison to perform with the lowest fare.
  • Responsible to ensure timely payment for accommodation and transportation including compilation, verifying invoices/statement of account, preparation of payment and submission of supporting document to finance department.
  • Responsible for local staff hostel and Japan Expatriate accommodation arrangement from preparation of letter offer, agreement and payment deposit. Liaison with expatriate Manager in charge, agent and landlord on the requirement.
  • To arrange on the handle over and take over process of the hostel & accommodation.
  • To ensure monthly rental fees payment is within the timeline.
  • Supporting Office Management task as and when required.

Job Requirements
  • Minimum Diploma / Degree in any field.
  • At least 3 year(s) working experience in relevant field.
  • Preferably with administration background. Multi-tasking, responsive, detail oriented and able to communicate with all levels of people.
  • Independent, responsible, resourceful and able to work under tight timeline.
  • Attentive and possess problem solving skills.
  • Effective communication skills are essential to deal with all levels of people.
  • Good time management skills.
  • Meticulous attention to detail.
  • Open concept office environment.
  • Provide store operations support during festive seasons and stock-take.
  • Participate in corporate social responsibility activities.
