Job Title: Assistant Company Secretary, Corporate Secretarial

JOB SUMMARY
o To assist the Deputy General Manager, Corporate Secretarial in carrying out all aspects of corporate secretarial duties/functions including to ensure statutory forms/documents are prepared, completed, and submitted to regulatory bodies in a timely manner, preparation of pre and post Board and Board Committee Meetings agenda and related documents, assist in the completion of annual report, and in the conduct/proceedings of the AGM.
o To organize and prepare correspondences with directors and secretarial service providers.
DUTIES AND RESPONSIBILITIES
o Submission of statutory forms to regulatory bodies in a timely manner, after the relevant approval is obtained.
- Work closely with secretarial providers and monitor submission of statutory documents within stipulated time frame.
o Pre and post preparation for Board and Board Committee Meetings.
- Compilation of board papers & to send out hardcopy of meeting pack to directors and Management.
- Attend to any arising matters and administrative matters post meetings.
o Assist in the completion of annual report production.
- Assist in the pitching process for the engagement of external agency, work closely with /coordinate between the appointed agency and the relevant person in charge for specific sections/contents of the annual report.
o Assist in the conduct/proceedings of the AGMs/EGMs.
- Compile AGM/EGM pack for directors and company secretaries.
o Performs such other duties as may be assigned from time to time by the Deputy General Manager, Corporate Secretarial and the Senior General Manager, Corporate Finance.
REQUIREMENTS AND QUALIFICATIONS
o Holder of Bachelor Degree of Corporate Administration with minimum 4 years of company secretarial work experience in public listed companies. A member of the Malaysia Institute of Chartered Secretaries and Administrator is an advantage.
o Possesses relevant knowledge of the Companies Act 2016, Malaysian Code on Corporate Governance and relevant regulations governing corporate entities (e.g. Bursa Malaysia Securities Berhad's Listing Requirements).
o Good communication skills, both verbal and written.
o Attention to detail and a well-organised approach to work.
o Integrity and discretion when handling confidential information.
o Must be a team player.
