Job ResponsibilityJob Description:
1. Carry out duties according to the university's policies, guidelines and procedures on Procurement & Asset Management. Provide high quality of services to staff and students via a timely response system in handling requests as per the policy & procedures.
2. Assist to prepare, verify, maintain an up-to-date list of all the assets (including fixed asset and low-value durable assets). This includes visiting field offices from time to time and working closely with the Procurement Team, Finance Office, and end-user departments or schools.
3. Conduct organizing or attending the acceptance of assets, asset tagging for Fixed Assets and Low-value durable assets.
4. Check, verify and key in the information of asset registration and disposal management. Ensure all assets are fully accounted and optimized for usage.
5. Assist to plan asset audit and periodic maintenance, conduct fixed asset inventory checking on annual basis and hoc request, timely check the storage of end-users' storage and other work processes to minimize losses due to damages, negligence, or inefficiencies.
6. Provide support in furnishing relevant reports as requested by the management in order to provide relevant advice to the procurement team to facilitate planning and preparing budgets as well as revisions to existing budgets in terms of budget amounts for procurement of goods, services and projects.
7. Maintain a proper and orderly filing system for all asset management and disposal transaction documents. Ensure the confidentiality and safekeeping of data and information.
8. Train and liaise with asset representatives of other departments/schools to ensure that all the implementation of asset management is smooth.
9. Any other duties assigned by supervisor and management.
